Our client is seeking a highly organised and detail-focused Vetting Administrator to join their Security Vetting Team. This role plays a key part in supporting Case Workers with the administration of security clearance requests, compliance activities, and general case management. The successful candidate will act as a key contact for employees and clients, providing updates, advice, and guidance on all matters related to Security Vetting.
This is an excellent opportunity for an experienced administrator with strong communication skills and a proactive approach to join a specialist team operating in a critical compliance and security environment.
Key Responsibilities
- Manage and review incoming emails, queries, and follow-ups into the case management system.
- Maintain accurate and timely records across all relevant HR and vetting systems to ensure effective information management.
- Conduct pre-screening and triage activities prior to submission for higher-level security clearances.
- Follow up on delayed applications, references, and responses across all clearance cases.
- Communicate effectively with stakeholders to update on progress with specific work and maintain accurate records
- Escalate issues to the Vetting Advisor to ensure service levels and deadlines are met.
- Check documentation for accuracy and completeness, liaising with employees to resolve omissions before sending to clients or contracting authorities.
- Administer the full security clearance renewal process.
- Manage vetting tasks related to employee leavers and changes in personal circumstances.
- Notify external authorities of staff clearance details when required.
- Manage allocated cases for DBS checks.
- Support ad hoc projects and broader team initiatives as needed.
- Perform general administrative tasks and ensure ongoing compliance with internal and external auditing requirements.
